Winter Concert: Schedule of Events and Expectations

All students are expected to share this information with parents prior to arrival for the concert.

2:30pm – Students will need to go home after school – there is no supervision provided until 5:30pm except for

VTS students who are unable to make arrangements to go to a friend’s house after school.  If you are a VTS student and need to stay at school, you must inform Mr. Pyatt by Friday, December 12 so he can make arrangements to stay at school.  You will be expected to stay in the band room until 5:30pm.

5:30pm – Students are to arrive and gather instruments and music.  Please leave instrument cases, cell phones,

and any personal belongings at home or in the band room.  Do not bring these items to the Theater.

5:55pm – The band room will be LOCKED.

6:00pm – Please be in the Theater and READY TO PLAY

  • Attendance will be taken at 6:00pm.  Mr. Pyatt will follow up with all students with unexcused absences the next school day.
  • We will warm up and tune first.  We will rehearse selected portions of the music prior to the concert.  It is essential that everyone is in attendance for this.
  • For percussionists who don’t play on a particular piece, you will be expected to sit in the designated area of seats (for both the rehearsal and concert).
  • Students are expected to remain in the performance area during rehearsal, not exploring other areas of the Theater or school at any time.
  • Please don’t wear perfume or cologne because we will be sitting closely together and some people may be allergic or sensitive to it.

7:30pm – Concert Begins!

  • Students will be dismissed from the Theater following the concert.
  • Students are expected to return all equipment, instruments, music, and music stands to the band room prior to leaving campus.
  • There is no transportation provided for students after the concert (VTS students will have cabs).
  • Students waiting for a ride may do so in the lobby area outside the Theater.
  • All students that have not been picked up within 30 minutes of dismissal from the Theater MUST report to the band room for assistance.  Mr. Pyatt may still be talking with parents and others who attended our concert or moving equipment and may not be in the band room at that moment.  If that is the case, please call him at (314) 269-7095, or at any other time if there is a problem.

C O N C E R T   A T T I R E :

Girls – black dress (provided), black shoes

Guys – tux jacket & pants (provided), long black socks, black dress shoes (NOT tennis shoes),

white tuxedo shirt, black bow tie, plain (no print) white t-shirt under the tuxedo shirt.

Please note: If you receive tuxedo pants that have NOT been hemmed, you may wear black dress pants.

General Expectations:

  • Students are expected to share this information with parents prior to the date of the Dress Rehearsal.
  • It is expected that students will conduct themselves appropriately and represent the best of West!
  • All students are expected to communicate the information regarding the dress rehearsal and concert with employers and coaches in advance of the events.
  • Attendance at the dress rehearsal and concert is mandatory and is part of the grade for band.
  • Any schedule conflicts that cannot be resolved must be communicated to Mr. Pyatt 24 at least 24 hours prior to the event.

2:30pmDISMISSAL FROM SCHOOL

2:45pmREPORT TO BAND ROOM – D R E S S   R E H E A R S A L   B E G I N S !

  • Students are expected to sit in their designated seats with music ready in the correct order.
  • Attendance will be taken at 2:45pm.  Mr. Pyatt will follow up with all students with unexcused absences.
  • This rehearsal is our ONLY opportunity for winds and percussion to hear each others’ parts prior to the concert.  It is essential that everyone is in attendance for this rehearsal.
  • For percussionists who don’t play on a particular piece, you are expected to remain in the band room.
  • Students are expected to remain in the band room during this rehearsal, not exploring the school.

 

5:15pm – D R E S S   R E H E A R S A L   E N D S

  • Students will be dismissed from the band room immediately following the rehearsal.
  • Winds are expected to return their cases and music to its proper place prior to leaving campus.
  • Percussionists are expected to cover all percussion equipment and put all mallets, auxiliary percussion instruments, and music in its proper place prior to leaving campus.
  • There is no transportation provided after the rehearsal (VTS may take the 5:30 Activity Bus home).
  • Students waiting for a ride may do so in the lobby area outside the main office (Door #1).
  • All students that have not been picked up within 30 minutes of dismissal from the band room are expected to inform Mr. Pyatt that they are still waiting for their ride home.  If Mr. Pyatt is not in the band room at that moment, please call him at (314) 269-7095, or at any other time if there is a problem.  This number should be programmed into your cell phone, if it is not already.

NOTE: Please understand that the times listed on this itinerary are tentative. We will be flexible to ensure the students are well cared for and are properly prepared (mentally, physically & emotionally) for their performance. Thank you for your understanding!

6:30 am                 Meet in the Band Room – we will do a final check of all uniform parts, props & instruments before we leave. Please eat a substantial breakfast that won’t upset your stomach!

You will want to bring a backpack with a change of clothes for after our performance.

7:00                        Depart – we will leave wearing our bib pants, black shoes, black socks.

Uniform tops should be in your garment bag.  Gauntlets and gloves should be in your hat box.

Percussion will need to make sure we have: blankets, tarps, and the generator.

7:30                        Arrive at the Edward Jones Dome

8:00                        Unload Truck & set up all percussion equipment – SOUND CHECK!

After our performance, Roadies will take pit equipment and props to the truck to start loading.  All band members and staff will take a group photograph at the park to the East of the Dome.  We will then return to the buses to change.  Uniforms will be hung NEATLY on your hanger, but not placed in the garment bag (your uniform needs to air out)!  When all equipment is loaded on the trucks and all band members have changed out of uniform, we will leave as a group and we will walk as a group to the J. F. Sanfilippo’s where will have lunch!  Our reservation is at 1:30pm.

3:00 pm Following lunch, we will enter the Dome as a group and sit in the same section of seats for the

approx.                 remainder of the day (see notes on reverse).  Dinner is at your own expense inside the Dome (stay in groups of 3 or more).

9:15 pm                                Missouri State University Marching Band Performance – check in with your chaperone

9:45 pm                                AWARDS CEREMONY – after attendance is taken, we will depart as a group after Awards.

11:00 pm              Approximate Arrival time at West – you will be dismissed as soon as:

Buses are clean

Trucks are unloaded

Band room, Uniform room, and hallways are clean and ready for class Monday

NOTE:

1. Safety first…It is expected that all students will remain INSIDE the Edward Jones Dome at all times.  If there is a problem you need help with, please contact one of the chaperones or Mr. Pyatt immediately at (314) 269-7095.  We will sit in the same section of seats as a group at all times.  When visiting the exhibit booths, concession stands, restrooms, etc. it is expected that students will travel in groups of 3 or more. We will enter and exit the Dome as a group and it is expected that all students will stay with the group.  It is expected that all students will check in with their chaperones at the given times in person and be on time for these check-ins.  Once we enter the Dome to watch other groups, we will be staying in our section of seats except for visiting the exhibit booths, concession stands, and restrooms.

 2. Appearance - You must have a clean-shaven face and your hair must be off the collar.  Public performances are just like job interviews.  People will make assumptions about you based on the way you look, even BEFORE you play a single note.  The Parkway West Band is known for being a professional, classy organization.  This is not the time to “express your individuality” - we are evaluated based on uniformity.  Thank you for presenting the appropriate image of your families, Parkway West High School, and the Parkway West Band.

 3.         Image - How you act is also a representation of your families, the school and the Parkway West Band.  You must be respectful of all performers, spectators, workers, parents, and vendors at all times.  Do not talk or enter the stands while a group is performing! If you like a group’s performance, respond with sincere enthusiasm!  If not, it’s better to keep your comments to yourself!  Chances are, you are sitting behind a parent or someone associated with that group.  All performing groups have worked hard and deserve your respect and considerate attention.  You are encouraged to make mental notes of what other groups do well & learn from them.  In every situation, you can learn something!

 4.         Why we do this…The reason we perform at this event is to perform in front of a very enthusiastic crowd, and get feedback from some great judges!  It is also an opportunity for you to show your pride in all the work you have done to make the West Band great.

 5.         Enjoy your performance! This has been a tremendous season of growth and musical development!  Your mind will need to be sharp and clear in order to remember all we have added this week!  The staff and your parents are very proud of your work ethic and commitment to the pursuit of excellence!  No one can play your show the way you do.

 3:00 – 4:00      Rehearsal at Practice Field – Percussionists will take the pit equipment, binders, and instrument stands to the stadium and return to the band room for dinner.  Brass and woodwinds are requested to help carefully move percussion equipment and drum major podium to the stadium.

Need to take: generator, cymbal bags, covers, tarps, blankets, etc.

4:30                 Tailgate Dinner – THANK YOU for picking up after yourselves!!

You may get uniforms on after you are finished eating and cleaning up.

You are expected to stay in the Music Area, not exploring the school.

5:30                 Senior Reception – Seniors and their parents meet us in the Orchestra Room for a reception.

6:00                 Warm Up in Band Room – play through Star Spangled Banner

6:15                 Line up (by “twos”) outside Band Room

6:35                 Troop to Stadium

6:42                 Spirit Dance – Poms/Cheerleaders

6:45                 Enter Stadium

When we get in front of the Scoreboard, play Fight Song

Set up “Tunnel” on field
